Black Belt Fire Protection, part of the Altus Fire and Life Safety family of companies, is seeking a highly organized and detail-oriented Permit Coordinator to manage the permitting process for fire protection projects from application through approval and closeout.

The Permit Coordinator will serve as a key liaison between our internal project teams, customers, authorities having jurisdiction (AHJs), municipalities, fire departments, engineers, and other stakeholders. This role requires strong organizational skills, effective communication, attention to detail, and the ability to manage multiple projects and deadlines simultaneously.

Hourly Rate: $18 -$25 hourly

Responsibilities

· Coordinate and maintain required fire protection permits.
· Schedule and coordinate fire inspections with customers, technicians, and Authorities Having Jurisdiction (AHJs).
· Coordinate and dispatch fire alarm service calls as needed.
· Prepare and distribute inspection reports to customers and AHJs.
· Manage professional correspondence with AHJs, including questions, follow-ups, approvals, and inspection requirements.
· Prepare and manage submittals, corrections, and related documentation.
· Monitor and resolve no-test and excessive signal issues, coordinating follow-up as needed.
· Upload inspection, service, and other required reports and documentation into company systems.
· Set up and maintain monitoring accounts in Stages.
· Review and maintain accurate customer, site, contact, and system information.
· Coordinate ordering of materials, supplies, and office needs.
· Process and pay office invoices in accordance with company procedures.
· Maintain accurate records of technician certifications, licenses, and expiration dates, and coordinate renewals as needed.

Skills & Qualifications

· High school diploma or equivalent.
· 2+ years of administrative or coordination experience; fire protection experience preferred.
· Strong organizational skills and attention to detail.
· Excellent written and verbal communication skills.
· Experience working with AHJs, permits, inspections, or compliance documentation preferred.
· Proficiency with Microsoft Office and ability to learn company software, including Stages.
· Strong follow-through, problem-solving, and time-management skills.
· Ability to manage multiple priorities in a fast-paced environment.
